Policy

ΘeoCon Cosplay Policy

We are thinking about your enjoyment and your safety as these guidelines are formed. After consulting with other comic con-style convention anti-harassment policies, the following guidelines were created. Your enjoyment and education in a safe space is important to all of us. To ensure a good time in our ΘeoCon community, we invite you to agree with the following policies.

Convention Policies

These policies are created specifically for ΘeoCon . Our policies are based on common convention practices where cosplay and activities occur.

 Badges

All ΘeoConners, guests, and participants are expected to wear their badges always.  You will need your badges to gain event entry to ΘeoCon and ΘeoCon activities. Please keep your badges visible, so that our hosts will know that you were granted admission into ΘeoCon. We ask that badges are not shared nor transferred. For us to remain in compliance with building codes, badges help us to identify participants that occupy the space. This is for your safety. 

Unidentified Flying Objects 

We believe that ΘeoCon participants have the right to enjoy the event without the interference of devices that fly, which includes: helium balloons, drones, helium-filled products, and objects may that cause harm to the structure of the building and or one another. Unless it’s Superman, nothing and no one should be flying around in our space.

Code of Conduct

We believe that all participants come with the best intentions to learn and to have fun. With that said, let this serve as a reminder that we expect everyone to remember that they are in a public space and at an event that highlights theology and morality in speculative fiction. ΘeoCon invites you into an environment that welcomes attendees to dress up as movie, book, and or religious figure characters aka cosplay. In our family-friendly environment, will see hear and observe aspects of culture that might be new for some. With that said, please adhere to the following:

Ask questions and for permission. As mentioned aspects of this convention will be new to some people. Do not assume that someone wants to take a photo with you or be in the background shot of your photo. Do not assume that people who spent a lot of time, energy and resources on their cosplay attire, that they want to be physically contacted by you. In this case, it is better to ask permission than forgiveness. Ask questions and for permission.

Respect for one another, for private and personal property and to our environment.

Be Aware.  Sometimes we are not aware of our physical presence and may enter 

someone’s space by accident. Your shield might be wider than you anticipated, or the wings you’re wearing might extend out further than anticipated. If you enter someone else’s space, see if they’re ok, apologize, and continue to enjoy your day.

IMPORTANT!!!!!!

ΘeoCon has zero tolerance for harassment and unsafe behavior. While we do not anticipate people creating unsafe scenarios, but just in case one finds themselves feeling unsafe or the receiver of mistreatment and disreputable behavior, they are to feel empowered to report the incident to the nearest staff member.  Anyone who acts contrary to our codes of trust and covenant forfeits their right to remain at ΘeoCon, forfeits their right to a refund, forfeits their membership and badge 

ΘeoCon officials will be in Addison Room 108 during the duration of the convention. Staff members will be available at the admission desk and throughout the convention building.

Costume Props Policy

We trust in the ingenuity and creativity of cosplayers and costume artists. Please think of creative ways to use alternative props for weapons, because functional props and weapons are not permitted into ΘeoCon.   Please do not bring guns or anything that looks like a gun of any kind. Make sure costume arrows and swords are strapped to your person. This follows local and venue weapon’s policies.  

Please wear reasonably sized costumes. We will have security review your content.

Recording of Any Kind

Out of respect for intellectual property, our panelists and guests, please do not video record, audio record, with any device: including Google Glass, Cell Phones, and video recordings. Recording must receive consent and permission from ΘeoCon.  N

No Handouts

Promotion and marketing from non- ΘeoCon entities must take place at their designated vendor tables or flyers and information can be placed in Addison Room 108. Please do not handout information and or solicit individual support during the convention unless you purchased a table or received authorization from ΘeoCon.

No Pets, only ESs

Personal Property, Coach Check and Paging:

Guests and participants are expected to keep track of their personal belongings and people you come with. Coach checks are not available currently and we currently do not have a PA (Public Announcement) system. We advise you to travel light and discuss meetup times and places with your comrades.  ΘeoCon is not responsible for lost, stolen or damaged property. 

Selling Items

Only vendors receive permission from ΘeoCon are authorized to sell items. 

No Smoking, Including E-cigarettes and Vaping Products and Devices

Virginia Theological Seminary has smoke-free policy around the campus’ buildings and discourages vaping. Please find spaces off our property to take care of your needs. 

ΘeoCon reserves the right to change or modify any policy or rule at any time and without notice.
